The records management session went really quickly. It seems like the rm program at ms is really solid, but they're filling in a lot of the gaps in sp's records center with third party technology. They have a holistic approach for records management, but their physical records sounds to be a lot more advanced than the digital ones.
3rd party software that ms is using as part of their rm solution:
- Using iron mountain for unified records management, with gimmal soft
- Content sync and migration is metavis
- Colligo is the email management, file shares and offline
- Docusign is their esignature tool
They have a split solution for records management: some are stored on-premise and others are in the cloud. One requirement that they wanted to access their ndas from anywhere.
They are using the records center as the compliance center. And they use the MetaVis Architect Suite for sharepoint. They chose it because it can connect remotely and manage on-premise sharepoint environments. We were given a demo of it. The tool looks really solid.
Decisions we need to think about before making decisions about the environment:
Where should content reside?
Which content should be retained and included?
Do you reorganize content during copy? Location? Metadata?
Scheduling? What is the proper scheduling for the extraction of content?
What if conflicts exist between the on premises and cloud content?
Should content history be preserved?
Lessons learned and reccomendations:
Create a test center and configure sample policies
Execute pilot whose intention is to validate security, workflow solutions and retention
Develop compliance driven site collections for inplace records
Sandboxed solutions is key for SPO
Plan for authentication headaches
Next up for them is an integration between Gimmal and iron mountain.
They have one records center and plan to have more as the time it continues.
They failed to explain document sets properly to the business, so they use libraries instead.
